JOB SUMMARY

This position is responsible for providing clerical assistance and performing general office duties to the department assigned in the Lake County Sheriff?s Office. The property department is responsible for the daily shipping and receiving transactions of the Sheriff?s Office, maintain inventory control of an estimated $23.2 million dollars in assets, outfit employees, vendors, and other agencies.

Enter requisitions for purchase approval through our workflow system, process purchase orders, maintain adequate stock of office supplies for in-house orders, negotiate with vendors for best price/quality comparison, respond to telephone, walk-in, and written requests as necessary from employees, vendors, and other agencies.

ESSENTIAL DUTIES and RESPONSIBILITIES
? Type correspondence, memoranda, reports, records, orders and other documents.
? Data entry and filing of related information and documents for inventory for management, supply room inventory, and department issued items/equipment.
? Maintains files.
? Answers telephones.
? Assign asset identification numbers for fixed and non-fixed assets purchased for the agency.
? Assist employees with ordering uniforms and items needed to perform their daily tasks.
? Order and stock supplies as needed for the agency.
? Receive and process items purchased by the agency.
? Ship and receive items as needed for the agency.
? Complete an annual inventory of all fixed assets and consumable supplies.
? Fill and deliver supply orders to the various departments/locations within the agency.
? Complete weekly/monthly activity reconcile reports for supplies.
? Monthly reconcile report for traffic citations, EPass/SunPass, and fuel cards.
? Pick-up merchandise from local vendors/companies as needed for agency.
? Other clerical duties as given by the supervisor.
? Prepares forms and letters.
? Maintains department records and monitors/maintains office supplies.
? May be required to do shift work.

ADDITIONAL DUTIES and RESPONSIBILITIES
? Operates copy machine, fax machine, calculators and various other office machines.

REQUIREMENTS:
QUALIFICATIONS

EXTERNAL and INTERNAL RELATIONSHIP and COMMUNICATION REQUISITE
? General public to include private citizens and businesses and municipalities
? Various other contacts relevant to specific department assignment

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) is required. At least one year of clerical experience is preferred. Equivalent combination of education and experience may be substituted.



CERTIFICATES, LICENSES and REGISTRATIONS
? Must possess a valid Florida driver?s license.
? Must Pass CJIS certification when required.

KNOWLEDGE, SKILLS and ABILITIES
? Must be able to comprehend and communicate fluently in verbal and written English.
? Ability to read and comprehend simple instructions, short correspondence and memos.
? Ability to write simple correspondence.
? Ability to effectively present information in one-on-one and small group situations.
? Must have basic computer skills to include word processing and spreadsheet applications.
? Must be able to present a positive image in person and over the phone.

WORK ENVIRONMENT
Work is performed in a standard office setting. The noise level in the work environment is usually moderate. Depending on assignment, the employee may be required to work long and/or irregular work hours, including evenings and/or weekends.
